How Phyto Nex AI works with Expensify
Expensify's SmartScan extracts merchant, date, and total from a receipt, which is enough to code an expense but not enough to audit it. The total on a $183.75 restaurant receipt is correct; the problem is the two $24 cocktails and the $11 dessert wine underneath it on a report where no client attendee was listed. Phyto Nex AI downloads the receipt image behind every expense and itemizes it.
Expensify does not offer OAuth for third-party audit tools, so the connection uses Integration Server credentials. A workspace admin generates a partner user ID and secret from the Expensify integrations page and pastes them into Phyto Nex AI. The credentials are stored encrypted and used only for read exports; Phyto Nex AI does not call any endpoint that updates reports or reimburses.
Because Expensify has no audit webhooks, Phyto Nex AI polls for reports by state every 15 minutes. Reports are re-checked when they move from Submitted to Approved, which catches the common pattern of an employee editing an expense after a manager has already signed off.
For companies migrating from Expensify to Ramp or Brex, running both connections during the overlap is where duplicate detection pays for itself. The same flight often appears on the new card and on a final Expensify report filed out of habit.
Expensify split expenses and category tags carry through to Phyto Nex AI unchanged. If an employee already split a hotel bill into Lodging and Meals, Phyto Nex AI audits each split against the folio and only flags the ones that disagree with what was printed. Tags such as project codes or client names become filters in the AP queue, which makes it straightforward to review one client engagement or one trade show at a time. Approver names from the Expensify approval chain are kept on every finding, so the controller can see which approvers consistently sign off on reports with flagged lines.

Expensify questions
Need a security review packet for this connector? Visit the trust center.
Yes. Integration Server access is available to workspace admins on both. Control workspaces expose more approval-chain detail, which Phyto Nex AI uses to show which approver signed off on a flagged expense.
Expensify does not publish report lifecycle webhooks to partners. A 15-minute poll keeps audits well ahead of typical weekly reimbursement runs.
No. Employees keep submitting in Expensify as usual. If a line item breaks policy, they get a polite Slack, Teams, or email message after AP approves it.
