How Phyto Nex AI works with Navan
Navan combines booking and expense, which gives Phyto Nex AI context most tools never see. When a traveler books business class on a 4 hour 10 minute flight from Chicago to San Francisco, the booking record carries the fare class and scheduled duration. Phyto Nex AI evaluates it against your rule (for example, business class permitted only on segments longer than 6 hours) and drafts a message before the trip, not three weeks after.
Hotel stays booked through Navan are matched to the folio the traveler later uploads. If the booked nightly rate was $219 and the folio shows $219 plus $47.80 of room service and a $29 parking charge, Phyto Nex AI separates the reimbursable lodging from the incidentals and applies your policy to each.
Out-of-band bookings are a common leak. A traveler who books a flight directly on an airline site and expenses it on a Navan card bypasses the booking tool's policy check. Phyto Nex AI spots the airline merchant code without a matching Navan booking and flags it for review with the fare details read from the e-ticket receipt.
A Navan admin creates API credentials with read access and pastes them into Phyto Nex AI. No traveler profiles, passport data, or loyalty numbers are requested.
Navan's policy engine evaluates a booking at the moment of purchase, which is valuable, but it cannot see what happens at the hotel or the restaurant afterward. Phyto Nex AI closes that gap by linking the booking to every downstream expense: the folio, the meals on the trip, the rideshares to and from the airport. AP gets a trip-level view in which the booked rate, the folio total and every incidental appear on one line, and the drafted pushback references both the booking and the specific receipt so the traveler knows exactly which charge is in question.

No. Phyto Nex AI requests only the transaction, booking, user, and policy data needed to audit spend. Passport numbers, known traveler numbers, and loyalty accounts are never requested.
Yes. Booking webhooks let Phyto Nex AI check cabin class and hotel rate as soon as a ticket is issued, so AP can follow up before the trip rather than disputing it afterward.
TripActions rebranded to Navan in 2023. Accounts created under either name connect the same way.
