Alcohol without a client attendee
Detects alcohol on itemized restaurant and bar receipts when the attendee list has no external guest, so internal team drinks are separated from client hospitality your policy actually reimburses.

The itemized check lists two flatbreads and a charcuterie board totaling $61.50, then nine cocktails and a bottle of Sancerre totaling $178.00 before tip. The attendee field names four people, all with meridianfreight.com addresses in the HR directory, and no CRM contact. Alcohol is 74% of the pre-tip subtotal, the merchant posts under MCC 5813, and the stated purpose is 'team catch-up after QBR'.

Why this rule exists
Most expense policies allow alcohol in one situation: a reasonable amount alongside a meal with a client, prospect or partner present. The receipt total alone cannot tell you whether that condition was met. A $214.80 dinner looks the same whether it was a customer meeting or four colleagues and two rounds of cocktails after a sales kickoff.
This matters beyond the dollars. For government contractors, FAR 31.205-51 makes alcoholic beverages unallowable, and DCAA auditors look for them in indirect cost pools. A single unflagged bar tab in an allowable pool becomes a finding you have to explain and back out.
It is also a pattern risk. The ACFE Report to the Nations finds expense reimbursement schemes make up 14% of asset misappropriation cases, with a median loss of $40,000 and a median of 14 months before detection. Repeated alcohol claims with vague attendee lists are easy to miss when, according to industry survey data, over 80% of front-line managers spend under 30 seconds reviewing a report.
Detection logic
The steps the audit engine runs, in order, on every submitted line.
- 01
Read the itemized receipt line by line and tag alcohol using item names, common brand and varietal terms (IPA, cabernet, margarita, old fashioned), bottle and glass sizes, and the 'BAR' or 'LIQUOR' department codes many POS systems print.
- 02
Treat any charge under MCC 5813 (drinking places) or 5921 (package stores) as alcohol-led even without itemization, and request an itemized receipt when an MCC 5812 restaurant charge arrives with only a total.
- 03
Pull the attendee list from the expense line, then classify each attendee as internal or external by matching names and email domains against your HRIS directory and your CRM contact list.
- 04
Raise a finding when alcohol is present and no attendee is external. When an external guest is listed, confirm the CRM shows that contact at an active account or open opportunity within the last 180 days.
- 05
Calculate the alcohol share of the bill. If alcohol exceeds the policy ratio, by default 40% of the pre-tip subtotal even with a client present, flag it separately as excessive rather than unaccompanied.
- 06
For government contract charge codes, mark every alcohol line as unallowable regardless of attendees, so it is segregated out of billable and indirect pools before the cost is posted to the ledger.

Hi Shreya, thanks for submitting the Bar Margot receipt from Austin. I noticed the check includes $178.00 in cocktails and wine, and the attendee list shows four Meridian colleagues with no client guest. Section 5.3 of the Travel and Entertainment Policy reimburses alcohol only when a client or partner is at the table. If a customer joined and I missed them, you can add their name and company as context. Otherwise you can mark the drinks as personal, or upload the itemized receipt if the food and drink split differs from what I read. Thanks, and let me know if I can help.
Tuning tips
- Add an internal celebration exemption for approved team events, tied to a specific project code and budget owner, so a sanctioned launch dinner does not generate findings for every attendee who submits a share.
- Adjust the alcohol share threshold by region. Teams in markets where wine with a client lunch is customary often raise the ratio to 50%, while US public sector teams set it to zero.
- Maintain the external domain list for partners who share infrastructure with you, such as staffing agencies or joint venture entities, so their staff are not misread as internal colleagues.
- When a receipt is not itemized, route it to the receipt request flow instead of raising an alcohol finding, so the employee is asked for detail before anyone forms a view about the bill.
- Review false positives weekly for the first month. Craft sodas, kombucha and zero-proof cocktails sometimes read as alcohol, and marking them once adds them to your company's exclusion list.
