How Phyto Nex AI works with Email (SMTP & Gmail/Outlook)

Email is the universal fallback and, for some teams, the preferred channel. Phyto Nex AI sends approved pushbacks from your own finance address, such as ap@yourcompany.com, so employees see a familiar sender rather than a vendor domain. Each message includes the flagged line item, the policy clause, and a signed link to resolve.

Magic links are single use, expire after 72 hours, and are bound to the recipient. Clicking opens a short form where the employee adds a business purpose, uploads an itemized receipt, or marks a line as personal. No Phyto Nex AI login is required.

For Google Workspace, Phyto Nex AI requests only the gmail.send scope, which cannot read the mailbox. For Microsoft 365, it requests Mail.Send on a designated mailbox, which an Exchange admin can restrict with an application access policy. If you prefer, point Phyto Nex AI at your SMTP relay and keep full control of SPF, DKIM, and DMARC alignment.

Delivery events feed back into the AP queue. A hard bounce or an unopened message after 48 hours surfaces as a reminder for AP, not an automatic escalation to the employee's manager.

Email works well for employees who rarely use chat, such as field technicians, part-time staff and executives whose assistants manage their expenses. Phyto Nex AI can address a delegate as well as the employee, keeping the employee copied so they stay informed. Messages are short, plain and mobile-friendly, with the flagged line, the policy clause and a single button to resolve. The same AP approval step applies: nothing is emailed until someone on your finance team has reviewed the draft, and every send, open and resolution is recorded in the audit log.
