Nadia's setup allowance is $750 per 36 months. She claimed a $289.17 standing desk frame in February 2025, leaving $460.83, and this report claims a $1,317.46 Aeron chair. The claim exceeds the remaining balance by $856.63. Her internet claims are separate and within the $50 monthly cap, and IT asset records show no company-issued chair or approved ergonomic accommodation on file.

Why this rule exists
Remote and hybrid policies usually combine a one-time setup allowance, such as a desk and chair, with a recurring internet or phone reimbursement. The caps are simple, but they are spread across months and reports, so no single approver sees that an employee is past their annual limit or has bought a third monitor in eighteen months.
The tax design matters. Reimbursements made under an accountable plan, with a business connection and substantiation as described in Treas. Reg. § 1.62-2, are not wages. A flat stipend paid without substantiation is generally taxable income and runs through payroll. Many companies run both, and the expense data has to keep them apart. Because most W-2 employees cannot deduct unreimbursed business expenses after the TCJA suspended miscellaneous itemized deductions, reimbursement design matters to employees too.
The dollars are modest, so the rule is Low severity. Its value is consistency: GBTA research puts the cost of correcting a report with errors at $52 and 18 minutes, which quickly exceeds the overage on a $63.18 internet bill.
Detection logic
The steps the audit engine runs, in order, on every submitted line.
- 01
Read eligibility from the HRIS work arrangement field, such as remote, hybrid or office-based, and the employee's start date, since setup allowances usually apply once within a set period after joining or going remote.
- 02
Classify home office claims by merchant and item: MCC 5712 furniture, 5732 electronics, 5045 computer equipment, 5943 office supplies, and 4814 or 4899 telecom and internet providers for recurring bills.
- 03
Accumulate spend against each cap over the configured period, such as a one-time $750 setup allowance per 36 months and a $50 monthly internet cap, carrying balances across reports and cards.
- 04
Detect repeat equipment purchases by comparing item descriptions and model numbers against the employee's prior claims and IT asset records, so a second ergonomic chair within the replacement cycle is flagged.
- 05
For internet bills, read the account holder and billing period, and check that only the monthly cap or the business-use percentage in policy is claimed, not household add-ons like streaming bundles.
- 06
Separate substantiated reimbursements from flat stipends in the finding and the export, so payroll receives stipend amounts for wage treatment and reimbursements stay inside the accountable plan.

Hi Nadia, thanks for submitting the Herman Miller order. Section 10.2 of the Remote Work Policy provides a $750 home office setup allowance every 36 months, and after the desk frame claimed in February 2025 there is $460.83 remaining. That leaves $856.63 of the $1,317.46 chair above the allowance. If you have an ergonomic accommodation approved through HR, could you add that context? You can also upload an itemized receipt if part of the order was a different item, or mark the difference as personal. Happy to help with anything.
Tuning tips
- Set caps by country and entity. Equipment and internet costs vary widely, so teams in India or Poland may use different allowances than the US, with values maintained per legal entity.
- Add an accommodation exemption tied to an HR case reference, so approved ergonomic or accessibility equipment clears without disclosing any underlying medical details in the expense record.
- Align the replacement cycle with IT asset policy. If laptops are refreshed every 36 months, using the same cycle for monitors and peripherals avoids flagging legitimate replacements.
- Decide whether unused setup allowance carries forward. Most teams do not carry it, and the rule resets the balance at the end of each period unless you enable carry-forward.
- Prorate monthly internet caps for employees who join or change work arrangement mid-month, which removes a frequent false positive in their first billing cycle.
